Terms of Service
1. Who we are and what this covers
These terms apply to your use of EspressoScanner, an AI diagnostic assistant for technicians who service commercial espresso machines and grinders, and for the shops and café operators they work with. By creating an account or using the service you agree to these terms.
2. Your account
- You can sign up with an email address and password or a Google account. Email and password accounts must verify their email address before they can be used.
- Keep your sign-in details secure. You are responsible for activity on your account and on the seats your company adds.
- Give accurate information when you sign up, including your name and company or shop name.
- We may suspend accounts that are used for abuse, fraud, scraping, or to get around plan limits.
3. AI answers are guidance, not a guarantee
- Answers, diagnoses, part identifications and suggested procedures are generated by AI from manufacturer (OEM) documents, parts books, technician-contributed material and the information you give it.
- AI output can be incomplete, out of date or wrong, including part numbers, wiring, pressures, temperatures and settings. We do not guarantee that any answer is accurate or suitable for your machine.
- Always check against the manufacturer's current documentation and the equipment in front of you before acting on an answer or ordering parts.
4. Technician responsibility and safety
- You are responsible for the work you do. Only qualified people should service espresso equipment, which involves mains voltage, pressurised boilers, steam and hot water.
- Follow lockout and isolation procedures, depressurise boilers, and follow the manufacturer's safety instructions and local codes. Never bypass safety devices such as thermal fuses, pressure relief valves or high-limit thermostats.
- Stop and escalate when you are unsure. Nothing in the app replaces your own judgement or the manufacturer's instructions.
5. Plans, trials and payments
- Paid features (such as Ask, diagnostic sessions, part identification, the email assistant, work orders and invoicing, and adding fleet machines) need an active plan or trial.
- Subscriptions are billed monthly through Stripe. We do not store your full card details; Stripe processes payments under its own terms and privacy policy.
- Promo trials (for example FREE30) are limited to one per person and per company. If no payment method is added before a trial ends, the subscription is cancelled and paid features stop until you subscribe.
- You can manage or cancel your subscription from Plans & Billing. Unless the law requires otherwise, fees already paid are not refunded.
- Invoices you send your own customers through the app are processed by Stripe Connect; you are responsible for what you charge and for your own taxes.
6. Content you upload
- You keep ownership of what you upload (photos, notes, work orders, documents). You give us permission to store and process it to run the service for you.
- Contributors who upload manuals, recordings or other material to improve the knowledge base do so under the separate Contributor Agreement, which they accept before contributing and which also governs contributor payouts.
- Don't upload anything you don't have the right to share, anything confidential or internal-only, or other people's personal data without permission.
7. Acceptable use
- Don't copy or resell the knowledge base, scrape the service, reverse-engineer it, or try to get around access controls or rate limits.
- Don't use the service to break the law or someone else's rights, including manufacturers' intellectual property.
8. Availability and liability
- The service is provided "as is". We try to keep it available but don't promise it will be uninterrupted or error-free.
- To the extent the law allows, we are not liable for indirect or consequential losses, or for damage, injury or downtime resulting from acting on AI output. Our total liability is limited to what you paid us in the 12 months before the claim.
9. Changes and contact
We may update these terms; if a change is material we will ask you to accept the new version. Questions: support@topsocialbrands.com.
